Lately, we’re digging a little more into the behind-the-scenes of not just running a business, but in leading a collective of perinatal therapists specifically. We’ve got all the tea on how this all works, why we do it, what’s hard, what helps, and what we’ve learned from a little trial-and-error down through the years. 

Being a therapist for parents and parents-to-be isn’t just about getting the credentials and showing up to support through the hard moments. There are logistical factors that need to come together or the business would totally flop.

Here, we’re digging into our favourite EMR (Electronic Medical Record) system that’s truly the glue of our practice: The Jane App.

Because if I’m being real (Kate here), I love supporting clients’ emotional journeys but staying on top of organizing the small details? That’s a whole other skillset and a hard pass for me!

We love the backstory too– Jane was created by a clinic owner (not a tech company) in Vancouver who needed a better way to manage her busy practice. When Ali Taylor couldn’t find the right software, she and an amazing developer Trevor Johnston built it—and they’re still leading the company today. Usually, the best solution is the one created by the person who actually gets what’s needed, and I thank the entrepreneur gods for that. (And bonus points that they started in Vancouver, the same area as us!) 

Why I Chose Jane App: The Early Days

When I first started my solo therapy practice in 2018, my days regularly included everything from showing up for clients, online marketing, writing blog posts, building a website… the list was chaotic and tbh, unsustainable. Wearing all the hats was mayhem. Picture the messiest of messy buns, 12-hour days, and literal mountains of copywriting. 

With all of this, I knew I needed a way to run my counselling practice in the most straightforward way. Did I mention that I had two babies crawling around me while trying to bootstrap the entire thing? I needed a system that could do it all—scheduling, billing, notes, telehealth—and make it easy, because I had about zero extra bandwidth to spare. Sound familiar? I didn’t want to waste energy wrestling with tech when I was already doing everything myself. 

When I stumbled upon Jane App, I was sold right away. It felt intuitive, human, and like it was actually built with the goal of making my life easier as a therapist. 

Oh and the branding! Clean, cool, minimal. Chefs kiss.

From the start, Jane made it possible to focus on my clients and build my caseload (because let’s face it, that can take a hot minute!) and not get bogged down in admin or moonlighting as the entire IT department. 

Just a few months after launching my solo practice, things started to overflow. Referrals were coming in faster than I could keep up, and I realized there was no way I could meet the demand alone. It became clear really quickly: this wasn’t going to be a solo private practice.

As I started to expand, bringing on new therapists to help carry the work, I knew that any system we used would have to grow with us—and not slow us down. It also had to be simple to learn because systems more complicated than learning a new language is a no for me. When I say simple, I mean that anything beyond navigating Netflix is where my technical skills tap out. That’s where Jane App made all the difference.

Adding new team members to Jane took minutes—even when they were located on the exact opposite side of the country and in totally different timezones. It was seamless to create a new profile, adjust schedules, customize services, set up permissions, and tweak billing settings without jumping through hoops or calling in a tech expert. And when I say seamless, I mean I could use my typical “I don’t read instructions, I just figure it out on the fly” approach. 

Rapid Growth and Scaling Wisely

The reality is that rapid growth can break a business if the systems underneath it can’t hold the weight. But Jane made it possible for me to lean into that growth rather than referring clients to someone I didn’t even know, or putting them on a waitlist for an unknown length of time. 

Fast forward to today, and what started as just me and my imposter syndrome, has now grown into The Perinatal Collective: a Canada-wide team of 17 perinatal therapists offering virtual care to parents (and parents-to-be) in the fertility, pregnancy, postpartum, and early parenting seasons. 

Our team offers counselling to individuals and couples with challenges like anxiety, overwhelm, identity shifts, or grief in this chapter of life. We’ve also expanded into the educational realm where we create professional resources to support those who work in this space. The vision has grown bigger than just mine—and it’s been such a gift to build something that supports both our therapists, other perinatal providers, and the families in our care. Today, I’m no longer steering this alone, but rather, I have an incredible business partner, Melissa Medjuck, at the helm right beside me.

When I started my company, perinatal mental health was such a unique specialization, and there was hardly anyone across Canada focusing on this area. This meant that interested clients often came to me looking for help, but were outside my jurisdiction. With Jane App, we were able to expand across provinces, time zones, and geography. That’s a pretty big win when you come from a massive country like Canada which includes so many remote or sparsely-populated regions where specialized care simply isn’t available. Scaling a private practice to a national mental health collective sounds massive—and it is—but Jane made it feel simple, steady, and totally doable.

And here’s the thing—we’re really good therapists. We bring in the most empathetic, heart-centered and truly skilled therapists to join our team. And for Melissa and I, we can cast a pretty exciting vision for the company over the next decade. But as for the detail-oriented, systems-loving, backend structure that our business needs to stay healthy and sustainable? That’s not our strong suit– or interest area, to be honest. So instead of trying to be good at all the things, we let Jane App fill that gap. It holds the structure so our whole team can focus on what matters most: showing up fully for the people we serve. 

Through every stage of building this practice—from solo work to a full-fledged mental health collective—Jane has been the constant behind-the-scenes that makes it all possible.

Why Our Clients Appreciate Jane App 

When people are reaching out for mental health support—especially during the tender and often overwhelming perinatal period—the last thing they need is a clunky, confusing system. 

If there are too many steps or things don’t work easily, they’ll often just give up (and that’s not what we want).

It also helps that Jane has become the go-to platform in Canadian healthcare (and is rapidly growing in the US too). Another huge (and unacceptable) barrier for possible clients is waittimes, especially for specialty practices like what we offer at The Perinatal Collective. Clients who need urgent support with mental health needs like sudden postpartum depression, pregnancy anxiety, intrusive thoughts, a difficult birth experience, intense perinatal anxiety or OCD… the list goes on, often can’t find the support they imminently need. 

Waiting a few weeks, a month, three months, can feel impossible when you’re just trying to make it through the day! Add in a biological deadline like a due date, and that increases the urgency. The Jane App has a simple waitlist feature that’s so easy for folks to add themselves to without any back-and-forth emailing, “can you add me to your list??” No thanks. And on our end, we can see right away if someone’s waiting, whether it’s a new client, or someone already on our caseload looking for an appointment.

We’ve Looked At Other Options (As All Business Owners Should Do)

As business owners, especially one running a large and growing group practice, we’re always looking for ways to streamline, increase efficiency, and make sure we’re using the best tools out there. Doing that means knowing what else is out there and keeping up with changing tech. It’s part of the role—staying curious, evaluating what’s working, and knowing when to pivot.

So yes, I’ve scoured the internet. I’ve read reviews. I’ve done demos. I’ve compared features, pricing, and integrations.
